Wave 2 Metadata Collection
Since 2020, INTERACT has moved to using the Polygon Dashboard to streamline and automate data collection. The dashboard contains all
- new users having completed an eligibility survey
- all returning participants, i.e. participants who joined INTERACT at a previous wave of data collection
The dashboard is hosted by Polygon and uses APIs to connect with other data sources (specific links with other data sources are described below).
Here is a list of all fields available on the Polygon/Treksoft Dashboard.
($jeff- how to make as a table?)
- user_id: Polygon's own ID system- not used in this pipeline
- interact_id: generated using the INTERACT ID Protocol: https://github.com/TeamINTERACT/PipelineDocumentation/wiki/IID-Protocol
- first_name: Seeded from previous data waves
- last_name
- last_questionnaire_completed_name last_questionnaire_completed_short_name last_questionnaire_completed_date primary_phone_number primary_phone_number_ext primary_phone_number_type secondary_phone_number secondary_phone_number_ext secondary_phone_number_type street_address street_address_complement postal_code city language gender birth_date income ethnicity gentri hear participation_option status dropped_out email_reminders ethica_id ethica_account_status ethica_adherence_status ethica_notification_status ethica_start_date ethica_end_date ethica_email_auth_date sensedoc_process_started sensedoc1_id sensedoc1_wear_start_date sensedoc1_wear_end_date sensedoc2_id sensedoc2_wear_start_date sensedoc2_wear_end_date sensedoc3_id sensedoc3_wear_start_date sensedoc3_wear_end_date notes
New participants sign up to the study through the Polygon Questionnaire portal. Upon signing up, they provide their metadata, notably their name, email, address, and phone number. They are automatically assigned an INTERACT ID by Polygon, following the IID Protocol. Returning participants are invited to log back in to the Polygon portal. Their metadata is pre-seeded into the database by the research team.

Participants who have opted to use the Ethica App (participation option 1 or 2) receive an automated email with instructions on how to download the app. This email is triggered when the coordinator invites them to the Ethica study on the Polygon Dashboard. (from $zoe: this is more about participant management, don't think we need this here... what do you think?)
To authorize a participant, you must invite them to the study on the Ethica dashboard:
- On the TS dashboard, retrieve the list of participants ready to join Ethica by clicking “INVITE ETHICA EMAILS”.
- Click copy to clipboard. All people on this list will be marked as invited, so make sure you proceed with the next steps.
- On the Ethica dashboard, go to your study menu, then select - participation – invitation https://ethicadata.com/researcher/dashboard/#/study/XXX/participation/invitation/
- Paste the list of emails to invite and click INVITE.
- IMPORTANT! Uncheck the box: “Send an invitation email to each participant.” We don’t want to send them an email from the ethica dashboard, TS will send an invite email.
- Back on the TS dashboard, confirm that the list has been added to the Ethica portal by clicking “MARK AS INVITED”. In doing so, the portal will indicate they have been invited (“Ethica Email Auth Date” will have the date of the invite next to it.). This will trigger the invite email, and subsequent reminders, if needed.
Participants who opt to use the SenseDoc receive an automated email inviting them to contact the coordinator to arrange for device pick up. The coordinator manages the distribution and retrieval of the SD devices, using a local CSV sheet. Once the SenseDoc data is downloaded to the local university servers, the coordinator enters the SD device number and the wear dates, as reported in the participant log book. SD data is then uploaded to Compute Canada and safely deleted from the local server.
At the end of data collection, the relevant ID fields (INTERACT_ID, Ethica_id, SD_ID, wear dates) are selected from the dashboard, data is harmonized (i.e. use the 3-digit SD ID everywhere) by the national coordinator and exported to Compute Canada for ingest by the developer.
